Bylaws 1.1. 3.1, 3.2. allow the Board to designate officers which assist in all HOA functions including, but not limited to:

  • Crafting, researching, implementing new rules, policies, Standard Operating Procedures (SOPs).
  • Performing executive functions such as:
    • Managing HOA Board task lists (creation, delegating, updating status).
    • Maintaining a master task list on internal file system.
    • Editing the master homeowner list.
    • Preparing mailings.
    • Mass messaging (electronic or printed).
    • Preparation and publishing of reports.
    • Editing and filing HOA executive documents in the electronic file system.
    • Attending meetings, taking notes, documenting agenda.
  • Maintaining website and social media accounts.
    • Maintaining the HOA calendar.
    • Creating, editing, updating user accounts.
    • Editing and managaging page content.
  • Homeowner engagements
    • Door-to-door homeowner survey forms (if not received by other means).
    • Door-to-door notifications consent forms (if not received by other means).
    • Door-to-door issue collection and resolution.
    • Explanation of HOA rules.
    • Responding to homeowner service requests (e.g. issues with contractors, issues with city services, responses to homeowner records requests).
  • Contracting
    • Authoring requirements documents.
    • Sourcing Requests for Proposals (RFPs).
    • Market research.
    • Contractor performance monitoring.
  • HOA Standard Operating Procedures (SOPs).
    • Authoring, editing, updating.
    • Creating new SOPs.
  • Financial operations
    • Assisting in the preparation of assessments, collections, accounting.
    • Preparing reports for homeowners on website.
  • Posting of HOA homeowner entitled documents such as meeting minutes, voting results, newsletters, etc.
